How to Choose a Network Scanner for Shared Office Use

A shared scanner is supposed to help speed up your daily work and eliminate paper bottlenecks. But if you buy the wrong model, your shiny new device quickly turns into a frustrating traffic jam in the corner of the admin office. 

Whether you’re managing rolling admissions in a busy school, digitising sensitive patient records in a healthcare clinic, or processing a mountain of daily invoices, multi-user environments bring a unique brand of chaos. With multiple people, with different technical skill levels, trying to perform specific tasks on a single machine. 

All too often, the price tag and the Pages Per Minute (PPM) are the only specifications worth considering when choosing a network scanner. But once the device has been unboxed, the problems can start.

The biggest trap: Network vs WiFi

One of the easiest mistakes to make when shopping for a shared scanner is assuming that Wi-Fi and network mean the same thing. 

They don’t. 

Wi-Fi describes how the scanner connects. It tells you that the device can communicate wirelessly, but it doesn’t tell you how the scanner works once it's connected. Some Wi-Fi scanners are designed to send documents to an application running on a nearby computer. In that situation, you have removed the USB cable, but you haven’t really removed the dependency on another device. 

You need to look beyond the Wi-Fi logo and ask the more useful question: 

Can users complete the entire scanning job directly from the scanner? 

Some wireless models can. The Brother ADS-4500W for example, includes wired and wireless connectivity, a touchscreen and the ability to scan to locations such as email, FTP, a network folder or a USB drive without needing a PC. But don’t just assume that a scanner labelled Wi-Fi can do all of this. 

What is a true network scanner? 

A true network scanner connects directly to the router, network switch or server using an Ethernet cable and is assigned its own network address. 

Instead of passing every document through one employee’s computer, the scanner makes files available across the organisation or sends them directly to approved destinations. 

Models like the Brother ADS-4300N provide wired network connectivity and can scan to email, FTP, network folders and USB storage. For organisations that need both wired and wireless flexibility, the Canon DR-S350NW includes LAN and Wi-Fi connectivity, direct job scanning, and controls to restrict access to selected functions. 

Which one should you buy?

For a small office with one or two regular users, a capable Wi-Fi scanner could be all you need. It can be placed wherever it’s most convenient, reduces cable clutter, and provides direct scanning via a touchscreen or mobile application. The Brother ADS-4500W offers this flexibility while still providing wired networking when needed. 

However, when a scanner is shared, a wired network connection is usually a safer option. It provides a more stable shared connection and makes it easier to build controlled workflows around network folders, user accounts, and approved destinations. 

The important point is not to simply choose between a cable and Wi-Fi. You want to choose  a scanner that can operate independently, whether multiple users can access it easily and whether it can send documents to the places your organisation actually uses. 

Standalone use: severing the PC tether 

In a shared office, the scanner should not depend on one person’s laptop being switched on, logged in and running the correct software. That creates a single point of failure and often leaves colleagues waiting for access. 

Look for a model that lets users choose a job, load their documents and send the finished file directly from the scanner. A clear touchscreen is particularly helpful when staff have different levels of technical confidence.

Pre-set jobs and scan destinations 

Pre-set jobs turn a multi-step process into a repeatable button press. Instead of asking every user to select the file type, resolution, colour mode, naming convention and destination, an administrator can create options such as “Invoices to accounts”, “Patient records” and “Admissions Forms”. 

This saves time and improves consistency. Documents are less likely to be filed under the wrong name, sent to the wrong folder or canned at an unnecessarily high resolution. 

Before buying, map out where your files genuinely need to go. Common destinations include email, shared network folders, FTP servers, USB drives and cloud platforms. 

The Epson Workforce DS-800WN supports job profiles and can route scans to destinations including email, network folders, FTP, OneDrive, SharePoint Online, Teams, Google Drive and Dropbox. Choose based on the systems your organisation already uses, rather than a long feature list that looks impressive but adds little practical value. 

User access and security 

Convenience shouldn’t come at the expense of control. In schools, clinics, legal offices and finance departments, a shared scanner may handle personal, confidential or commercially sensitive information. 

Consider whether users should be required to authenticate, whether certain destinations can be restricted and whether administrators can prevent changes to approved workflows. It is also worth checking whether the scanner supports your organisation’s network security requirements and can protect the files it creates. 

The Canon DR-S350NW is designed with shared access in mind. It offers authentication and restriction controls, support for WPA3 and 802.1X networks, and password encryption for scanned documents. The basics: volume, speed, and paper handling 

PPM still matters, but only in context. A fast scanner with a small feeder may require constant attention, while a slightly slower model with reliable paper handling may complete mixed batches with fewer interruptions. 

Estimate your busiest daily volume, not the average on a quiet day. Check the recommended daily duty cycle, automatic document feeder capacity, duplex performance and supported paper weights. If staff regularly scan receipts, ID cards or mixed-size documents, make sure the feeding system can handle them. 

For moderate shared use, the Brother ADS-4500W combines a 60-sheet feeder, speeds of up to 35ppm and a 5,000-page daily duty cycle. Busier departments may need something closer to the Brother ADS-4900W, which increases capacity to 100 sheets, speed to 60pm and the daily duty cycle to 9,000 pages. 

Choose the scanner that fits your workflow

The best network scanner is not necessarily the fastest model or the one with the longest specification sheet. It’s the scanner that makes everyday tasks easier for the people who will actually use it. 

Before making your decision, think carefully about how many people will share the device, where the scanned files need to go, whether users require pre-set workflows and what security controls your organisation needs. You should also consider your busiest scanning periods, the types of documents you handle and whether the scanner can work independently without relying on a dedicated computer.
